Cancellation & No Show Policy

Definitions

  • A “no-show” occurs when a client does not arrive for a scheduled appointment and has not contacted the clinic to cancel or reschedule.

  • A “late cancellation” occurs when an appointment is cancelled or rescheduled with less than six hours’ notice.

  • A “late arrival” occurs when a client arrives 10 minutes or more after their scheduled appointment time.

Policy

Due to an increasing number of missed appointments and late cancellations, along with a high demand for veterinary services, Valley Veterinary Clinic charges a $35 fee for no-shows and late cancellations.

Our goal is to provide timely care to all patients while respecting the time of our veterinarians, staff, and clients. Our appointment schedule is carefully arranged so that each patient receives the time and attention they need.

When an appointment is missed or cancelled without sufficient notice, the unused appointment time often cannot be offered to another patient who may need prompt medical care.

Should you need to cancel or reschedule your pet’s appointment, please call or email us at least six hours before the scheduled appointment time.

Procedure

Clients will be informed of the No-Show, Late Cancellation, and Late Arrival Policy when scheduling an appointment. The policy will also be included in appointment confirmation communications and posted on the Valley Veterinary Clinic website.

Appointments must be cancelled or rescheduled at least six hours before the scheduled appointment time. Cancellations or rescheduling requests made with less than six hours’ notice will result in a $35 fee. Appointments classified as no-shows will also result in a $35 fee.

New clients must confirm their appointment by 3:00 p.m. on the business day before the scheduled appointment. If confirmation is not received by that time, the appointment may be cancelled and the client may need to reschedule for the next available appointment.

Clients who arrive late will have to reschedule their appointment and are subject to a $35 no-show fee.
